Administrative Assistant

Location: Livonia, MI (Relocating to Novi, MI in end of February 2027)


Employment Type: Direct Hire, Part-Time


Work Arrangement: Hybrid - 3 days onsite / 2 days remote (negotiable)


Start Date: November 1, 2026 (negotiable)


Schedule: Monday-Friday, 9:00 AM-3:30 PM, with a 60-minute unpaid lunch break (27.5 hours/week)


Compensation: $3000/month

Key Responsibilities


• Provide general administrative and office support


• Prepare, organize, and maintain documents and records


• Prepare and manage invoices


• Handle phone calls, visitors, and email correspondence in English and Japanese


• Perform data entry and maintain internal records


• Provide administrative support to Japanese expatriate employees


• Coordinate with vendors, subcontractors, and business partners


• Maintain quotations, contracts, certificates of insurance, and project-related documents


• Handle employee PTO tracking


• Perform other administrative duties as assigned

Qualifications


Required:


• Legally authorized to work in the United States


• Professional-level English proficiency, business-level Japanese proficiency


• Strong organizational, communication, and multitasking skills


• Basic proficiency in Microsoft Office (Outlook, Word, and Excel)

Preferred:


• Previous administrative or office support experience


• Experience in a Japanese-English bilingual business environment


• Experience with invoice processing, document management, or vendor coordination
